Within research laboratories and workspaces where sensitive information or materials are present, it’s a collective responsibility to establish and uphold best practices to maintain the physical space and its contents.

These best practices apply to any personnel (including ASU employees and ASU visitors) with authorized access to research spaces or sensitive information, as well as those responsible for maintaining or overseeing physical security in such areas.

Best practices

  • Make sure everyone knows about the hotline ASU Hotline and that ASU PD should be contacted immediately if anything unusual happens.  Consider posting signs with contact information for both the ASU Hotline and ASU PD in visible spaces throughout the lab.  (ASU Hotline sign).
  • Notify ASU Research Compliance at [email protected]
  • No one should be taking photos in workspace areas or laboratories. If someone is seen doing this or doing anything else suspicious:
    • Call ASU PD right away.
      • The non-emergency line is 480-965-3456, where a report can be taken over the phone.
    • Approach them and ask who they are and what they’re doing.
    • If possible, take a photo of them and their activity.
  • Remind everyone to watch out for tailgating or piggybacking through doors and elevators.
  • Please ensure that no sensitive or proprietary information is left visible or unattended in the workspace to maintain research security and confidentiality.
  • Always lock your computer before leaving your desk or lab area.
  • Keep specialized or export-controlled equipment out of public view. Move it away from windows or cover windows to block visibility.
  • Protect sensitive information by erasing whiteboards and keeping materials out of view when not actively in use; locking information away in a cabinet or office with limited access
  • Shred documents with sensitive information before throwing them away.
  • For spaces with frequent visitors, keep a visitor log to track who enters and leaves the area.
